Madison Street Dental Clinic (“we,” “our,” or “us”) respects your privacy. This policy explains what information our website may collect, how it is used, when it may be shared, and the choices available to you.

It applies to madisonstreetdentalclinic.com and related online services. It does not replace our HIPAA Notice of Privacy Practices, which covers protected health information connected to your dental care, or our Consumer Health Data Privacy Policy.

Information we collect

Information you give us. Your name and contact details, appointment requests and preferred times, and anything else you choose to send when you contact the practice.

Please do not send detailed medical histories, dental records or insurance details through a general website form. Call the office instead.

Information collected automatically. Standard web information such as IP address, browser and device type, pages visited, referring site, and interactions with the page.

Technologies this website actually uses

We list these specifically rather than generically, so you can see exactly what is in play:

  • Google Analytics 4 — measures page views and records when a visitor taps a phone number, opens the booking link, or submits the contact form. Google receives this information.
  • Google Fonts — typefaces are loaded from Google’s servers, which involves a request from your browser to Google.
  • Cloudflare — hosts and serves the site, and processes request information for delivery and security.
  • Cherry — a patient financing estimator appears on the Financial Info page only. Interacting with it involves Cherry.
  • BiteBot — an AI chat assistant that answers questions and can book appointments. What you type into it is processed by BiteBot.
  • Online scheduling — booking links take you to our scheduling provider’s own site, where their privacy policy applies.

No advertising conversion tracking is installed at the time of writing. If that changes, this policy will be updated first.

You can control cookies through your browser. Blocking some may affect how the site works.

Our AI chat assistant

We use BiteBot, an AI chat assistant, to answer common questions and help you request an appointment without waiting for the front desk.

Anything you type into the chat is sent to BiteBot and processed on our behalf so it can respond and, where you ask for one, create an appointment request. [CONFIRM WHAT BITEBOT RETAINS, FOR HOW LONG, ITS SUBPROCESSORS, AND WHETHER SUBMITTED DATA IS USED TO IMPROVE THEIR MODELS]

Please do not use the chat for an emergency, or to send detailed medical history. If you are in pain, in distress, or think you may have a spreading infection, call us on 425-353-5854 or seek urgent medical care. A chat assistant is not a substitute for professional dental advice and its answers are general information only.

Where the chat is used to collect health information, that information is protected health information and we will put the required agreements in place with the provider before relying on it. [CONFIRM A SIGNED HIPAA BUSINESS ASSOCIATE AGREEMENT IS IN PLACE — a vendor describing itself as HIPAA compliant is not the same as an executed BAA]

How we use information

  • Respond to enquiries and appointment requests.
  • Operate, secure, maintain and improve the website.
  • Understand which pages and services people use.
  • Meet legal obligations and protect our legal rights.

How we share information

We share information with the service providers named above, to the extent each needs it to perform its function; with professional advisers where appropriate; and where disclosure is required by law or necessary to address fraud or a security incident.

We do not sell personal information. [CONFIRM AGAINST ACTUAL PRACTICES AND CONTRACTS]

Retention and security

We keep information only as long as reasonably necessary for the purposes described here and as required by record-retention law. Retention periods for website enquiries: [INSERT RETENTION PERIOD].

We use reasonable safeguards appropriate to the information we hold. No website or electronic transmission can be guaranteed completely secure.

Your choices and rights

Depending on the information and the law that applies, you may be able to request access to, correction of, or deletion of your personal information.

Washington residents may have additional rights over consumer health data. Those are described in our Consumer Health Data Privacy Policy. Requests about dental records are handled under our HIPAA Notice of Privacy Practices.

Children’s privacy

This website provides information about dental services. We handle children’s information in line with applicable law and our healthcare privacy obligations. Parents and guardians should contact the office directly when acting for a minor.

Changes

We update this policy when our services, technologies or legal obligations change, and we revise the “last updated” date when we do.
